A Day in the Life of a USCIS Certified Document Translator: A Look Inside Our Passionate Profession.
What kind of document will arrive first? And what country will it come from?
Those are often the first questions that cross our minds at the start of a workday. When you know your language pair well and have a sense of the odds, you might even take a guess. For example, when translating from Spanish into English, you might bet on a Mexican birth certificate—and you would probably be right a few times. But even then, the possibilities multiply once you factor in the specific state or federal entity involved. Michoacán? Guanajuato? Jalisco? At that point, you would need a pretty good crystal ball to know what is coming next.
There are days when one particular country seems determined to dominate the statistics. Four birth certificates from Cuba. Two criminal background certificates, one marriage certificate, and a divorce decree from Argentina. Two birth certificates, one death certificate, and an affidavit from El Salvador. There are always days when one country manages to steal the spotlight.
Either way, the day begins. We sit down, ready for whatever comes our way, with every tool at our disposal. On any given day, we may put on our lawyer's hat, then our doctor's, then an economist's, and finish the day wearing an academic's. A lease agreement, a medical report or vaccination record, a bank statement, a diploma and an academic transcript can all land in our inbox on the very same day. That's why we always keep legal, medical, financial, and academic dictionaries close at hand, along with contextual vocabulary lists, professional forums, and countless other resources. Everything has its place, and sooner or later, almost everything becomes useful.
You translate that first document, and just like that, you are pulled into another day in this fascinating profession, getting a glimpse into the lives of people from every corner of the world. They are all at some pivotal moment in their lives: applying for a visa, seeking a scholarship to study abroad, filing for a green card, requesting asylum... That is why what we do matters so much. A high-quality translation can help make an important process smoother and more secure. A poor one can mean delays, rejections, lost time, lost money, and perhaps even the loss of an opportunity to change someone's life. There is simply no room for mistakes.
And yet, at any point during the day, our good mood can inevitably give way to something much heavier, as we find ourselves immersed in a story that breaks our hearts.
A person—or an entire family—may describe in an affidavit how they have been persecuted, harassed, or subjected to violence because of their political beliefs, or simply because their home is in an area ravaged by crime and neglected by the authorities. At moments like these, we carry their message with our hearts in our hands, while remaining objective and professional. We can only hope that better days lie ahead for them, and that our translation will somehow help them get there.
And when it comes to professional challenges, the greatest one is not necessarily finding that particular legal or medical term and rendering it correctly in the target language.
No. The real challenge is receiving a document that has been handwritten, in hurried, flowing script, that hides vital information inside a maze of nearly impossible-to-decipher scribbles. Names, places, dates, identification numbers... every single detail must be accurate. We do our best. We try to piece together certain details through research, and sometimes we consult a colleague who is a native of the region where the document was issued. But in the end, whatever we cannot confidently decipher must be marked as illegible. Then we contact the client, hoping they have the missing information and can get it back to us quickly, so we can avoid delays that could affect their case.
By the end of the day, we have helped many people through important moments in their lives. We have learned something new about another country's culture and added another word or two to our mental vocabulary bank.
If we're not completely exhausted, we might even play a little game: Which country won today? What type of document did we translate the most? Which particular dictionary did we reach for most often? And which professional hat did we wear the longest? Some of us even keep a spreadsheet for all of this, a habit reserved for the truly detail-oriented among us. And that little collection of statistics becomes richer with every passing day.
But if we're completely worn out—and there are days when, by nighttime, it is genuinely hard to remember which documents we translated that morning—we simply call it a day, get some rest, and come back ready for another round the next morning.
